Dear Mothers and Guardians,
The Fordham Prep Mothers’ Club is preparing for the 2011-2012 school year by accepting nominations for Executive Board positions. The responsibility of the Board is to help “promote and advance the best interest of Fordham Prep in its religious, educational and charitable functions…”
We are accepting nominations for:
• President
• Executive Vice President (Fashion Show Chair)
• Vice President
• Recording Secretary
• Assistant Treasurer
• Financial Secretary
• Corresponding Secretary
• Website Coordinator

To date, the FPMC has sponsored the Freshman Mothers Welcome, Christmas Celebration, Winter Party and Tuition Raffle Party. For the remainder of this year, we will also sponsor the Senior Mother-Son Valentine Dance, Morning of Spiritual Renewal, Fashion Show, Communion Supper and End of the Year Book Fair.
None of this would be possible without the generous volunteers who have given their time to plan, coordinate and organize these events. Will you consider spending a few hours each month meeting with other Fordham Prep moms and guardians to help with these charitable, educational and spiritual events? It’s a great opportunity to meet others in the Prep community and to help support the school that gives so much to our sons.

Fordham Prep Mothers' Club Executive Board
President: responsible for the overall administration of all affairs of the FPMC and presides at all monthly meetings and represents the organization at appropriate occasions.
Executive Vice President: shall discharge the duties of the President in event of her absence or disability. She shall perform such additional duties as may be delegated to her by the President. She shall chair one of the events during her tenure as agreed upon by the President and herself, e.g. the Fashion Show.
Vice President: shall discharge the duties of the Executive VP in the event of her absence or disability. She shall chair one of the events during her tenure as agreed upon by the President and herself, e.g. the General Meeting in October.
Recording Secretary: keeps the minutes of all meetings of the organization and of the Executive Board.
Corresponding Secretary: notifies the members of the Executive Council, the Moderator and any interested members of the month’s business meetings, reports on and distributes incoming correspondence and prepares personal mailings. She shall maintain the stationery inventory and secure address labels for monthly mailings.
Financial Secretary: keeps a record of all dues paying members and shall send out appropriate notices to recruit potential members. She shall make provision for collection of dues at meetings.
Assistant Treasurer: makes a two-year commitment of service to the Mothers’ Club. During the first year the Assistant backs up the Treasurer and stands in if necessary to make reports or attend meetings. The Assistant’s main responsibility is to learn the job of Treasurer so that she may take over that position in the second year of the commitment. Nominees should either have knowledge of Quicken/Microsoft Money or be willing to be trained on the Accounting software used by FPMC. In the second year of this appointment, the
Assistant Treasurer becomes the Treasurer, who is the fiscal officer of the organization and shall receive and disburse all of the funds of the organization, keep accurate books of account, and render a report of all transactions at each meeting of the Executive Board and at meetings of the organization. The operating funds shall be deposited in a regular checking account in a commercial bank. The President and the Treasurer shall control the funds with any one signature being necessary.
Website Coordinator: shall maintain the FPMC website to keep the Prep community informed about the organization’s events and special projects. She shall write and post event notices, newsletters and event photos on the website. She shall coordinate distribution of and responses to Mothers’ Club email and by the Club’s technology liaison with the Prep, PrepConnect and our website. The Website Coordinator should be a good writer, relatively computer literate and should be able to spend a little time being trained in the software. She should be willing to attend all/most events, write brief descriptions of the events and collect photographs to post.
